The Ursa Major 2023 Swap Meet is a badged event. This means all shoppers and sellers must have a convention badge in order to participate. Due to our limited capacity, we may ask that you wait to enter until other shoppers leave in order to prevent overcrowding.
Time: Doors open for shoppers at 12pm noon
Location: The Imperial Ballroom (on the garden level of Hotel Kabuki)
This is an all-ages event, and there is no specific dress code (i.e., J-fashion attire is NOT required for entry)
Two private dressing rooms with mirrors will be available for your shopping convenience
The swap meet room is reserved only for sales by registered Swap Meet Sellers! We ask that attendees who have not purchased a table refrain from arranging their own sales inside the Imperial Ballroom during swap meet hours. Thank you for your cooperation and understanding.
We will also provide a space where anyone attending may leave items they plan to give away for free. Both shoppers and sellers are welcome to take items left here. If you do leave anything at this table, we ask that you please retrieve any of your remaining items left at the end of the swap meet. Anything not claimed by the end of the swap meet will be collected by event staff and donated.

Please note that table space is very limited. Tables may only be purchased by attendees who have already purchased a full weekend badge or a Sunday one-day badge.
After all available table slots are filled, you can still register for our waitlist to be notified of any cancellations or increased availability.

TERMS OF SERVICE
Seller Registration: Each table may be staffed by a maximum of two sellers. If you are planning to share a table, please designate someone as the Primary Table Holder and submit ONE registration form. (There will be a space to put a Secondary Seller Name, if applicable.) The full table amount will be charged to the Primary Table Holder.
All swap meet sellers MUST provide their Eventbrite order number from their badge purchase in order to complete table checkout. This can be found in your badge purchase email confirmation OR in your Eventbrite account.
Badge Requirements: All Swap Meet sellers, including Secondary Sellers, must have already purchased either a full weekend badge or a Sunday one-day badge. Sellers who do not have a qualifying badge will be denied entry at the door, and will not receive a table refund.
Set-up: Swap Meet sellers can start setting up in the Hotel Kabuki Imperial Ballroom at 10 AM on Sunday, December 10. Please plan to have your table set-up BEFORE doors open at noon. Only attendees registered as Primary Table Holders or Secondary Sellers will be permitted to enter the swap meet space for set-up. No other attendees will be allowed in during set-up.
Clothing Racks: A maximum of one small clothing rack (approx. 3 feet wide) is allowed per table. We have a limited number of garment racks available to rent for $10.00 as an add-on option. Otherwise, we are not providing garment racks or hangers; please bring your own. Please be respectful of your fellow sellers' space!
Display Limitations: Please do not use table displays over 6 feet tall, or any large free-standing displays on the ground. Please do not tape anything to the walls or table.
Permitted Items for Sale: Items for sale should be related to J-fashion, such as garments, accessories, or brand novelty items. We also permit the sale of items like doll clothing, alternative fashion magazines, and other general items that are closely related to Japanese alternative fashion communities. Indie brand items are allowed. No cosplay/anime items, please!
Please note that sellers are responsible for their own garments. Bay Area Kei is not liable for any damage or theft to any sellers' items.
CANCELLATION & REFUND POLICY
Cancellations may be made up to one (1) day before the event. Eventbrite’s fees are non-refundable; fees will not be returned to the ticket buyer unless the event is canceled, or if the buyer requests a refund for a duplicate charge within 7 days of purchase. There are no transfers of tickets for this event.
